A kitchen display system — KDS — is a screen in the kitchen that shows incoming orders as live tickets instead of printed dockets. Tickets appear the moment an order is placed, and staff move them along as they're cooked: New → Preparing → Ready → Served.
It sounds mundane. In practice it changes the two things that go wrong most often on a busy service: tickets getting lost, and nobody knowing what's actually ready.
What a KDS replaces
Most kitchens run on some version of paper: a printed docket, a handwritten chit, or a server calling the order through the pass. All three share the same failure modes.
- Dockets get lost or stuck together. A missed ticket usually surfaces twenty minutes later as an angry table.
- Handwriting gets misread. Especially modifiers — "no chilli" is one scribble away from a complaint.
- Nobody can see the queue. Without a screen, the only person who knows how far behind you are is whoever is holding the tickets.
- Ready food sits. The pass knows it's up; the floor doesn't.
A screen fixes these not because it's clever, but because it's shared. Everyone sees the same queue at the same time.

A silent screen is a screen nobody watches. New orders should arrive with an audible alert so the kitchen doesn't need to keep glancing up.
Stages, not a list
A flat list of orders tells you nothing about progress. Columns — new, preparing, ready — let anyone read the state of the kitchen from across the room.
Time on every ticket
How long has this been open? That single number is what stops a ticket quietly ageing at the bottom of the queue.
Table identity, clearly
The ticket should say which table it belongs to, so the runner doesn't have to ask.
The unglamorous detail that matters most: screen size and viewing distance. A KDS that's readable on a laptop at your desk can be useless at arm's length in a hot kitchen. Test it from where the chef will actually stand, before service.
What hardware do you need?
Less than most vendors suggest. A browser-based KDS runs on:
- A spare tablet on a stand — the most common setup
- An old laptop
- Any monitor or TV with a cheap stick PC or mini PC behind it
Purpose-built kitchen terminals exist and are genuinely more durable near heat and steam. But they're an optimisation, not a requirement — start with what you have and buy hardened hardware only if the environment demands it.
Two practical notes: keep the screen on mains power rather than battery, and put it where steam won't sit on it.
Does a KDS need QR ordering?
No — a KDS can take orders from staff just as easily as from guests. But the two work well together, because the whole path becomes digital: the guest types the order, and it appears on the kitchen screen without anyone re-keying it. That's where transcription errors disappear entirely.

The usual mistake is switching everything over on a Friday. A calmer sequence:
- Run it alongside paper for a few services. Same orders, both places. Nobody is depending on the new thing yet.
- Start on a quiet shift. Weekday lunch is where you find the awkward details — where the screen should sit, how loud the alert needs to be.
- Agree who moves tickets. The most common confusion isn't technical; it's two people assuming the other marked something ready.
- Then drop the paper. Once a full service passes without anyone reaching for a docket, you're done.
Common questions
What if the internet drops?
Ask any vendor this directly, and about their track record — it's the question that separates products. At minimum you want a clear on-screen state so staff know the screen is stale rather than empty, and a fallback (a printed ticket or a server relaying orders) for the minutes it takes to recover.
Can I have more than one screen?
Yes — it's just a web page, so open it on as many screens as you like. Larger kitchens often run one at the hot pass and one at cold or desserts.
Do we still need a printer?
Many venues keep one for the bill and for KOT copies. A KDS replaces the kitchen's reliance on paper, not necessarily the printer itself.
How long does the team take to adapt?
Usually a service or two. The interface is a queue that moves left to right; the harder part is the habit of marking tickets ready, not the software.
Worth knowing before you buy
Most KDS products are sold as an add-on with a per-terminal fee, which is how a "cheap" system becomes expensive across three screens. Check whether the kitchen display is included or metered, and whether it counts screens or locations.
